How to Join a Fan Club

Joining a fan club here at SnitchSeeker is easy to do once you get the hang of it. In order to be a member of a fan club and be permitted to post in the fan club’s forum or thread, everyone must go through the joining process. But how do you join a fan club? Well, that can be done in the following step-by-step instructions below:

1. First go to your User CP. This can be found near the top left corner on every page you are on.
   
   
   
   
2. Next click on the Group Memberships link. You can find the link listed under “Networking”.
   
   
   
   
3. After you have done that, click on the circle of the fan club you want to join.
   
   
   
   
4. Then scroll down to the bottom of the list and click the “Join Group” button.
   
   
   
   
5. You are almost done! Now state why you want to join the fan club.
   
   
   
   
6. Finally, click “Send Request” and wait for a group leader to accept your request.
   
   

Once a group leader accepts your fan club join request, an automatic PM will be sent to you. This PM will inform you that your request has been accepted and that you are now an official member of the fan club, which means you can now post in the fan club’s forum or thread. Congratulations!

New Fan Clubs and Forums

We are always looking for new fan clubs here at Florean Fortescue’s. Even though we would love to have a fan club for every character and actor in the Harry Potter franchise, this would cause a lot of mayhem if they were just given out randomly. Anyone who wishes to start a new fan club must go through the same process the current existing fan clubs have gone through. This is to assure us that taking the time to create these new fan clubs won’t end up being a waste. If you are interested in starting a new club, please read the Request thread for more information.

At the present time, everyone is invited to join the Extra Characters and Other Cast fan clubs to talk about the characters and actors that currently do not have a fan club of their own.

Once a new fan club has been started, it will start off as a thread in the Rocky Road Actor or Jelly Slug Character forums. Forums for any new fan club are not set up right away because there needs to be an interest in the club and the fan club must prove that it deserves a forum of their own. In order for a fan club to receive a forum, the following steps need to be taken:

• All officers must be in place and active.
• There needs to be at least ten active members in the fan club.
• The fan club must have participated in at least two activities or events.
• Officers should PM the fan club moderator why the fan club needs a forum.
• The fan club moderator must deem the fan club active.
• No warnings have been given to the fan club.

However, just as a Fan Club can get started by there being "interest" or obtain a Forum for a Fan Club, the Fan Club CAN be taken away or abolished if interest dissipates. Should a Fan Club need to be abolished if interest wanes, then the following would need to occur:

• After 2 months of officer positions being vacant and attempts have been made to fill the positions.
• The Fan Club has been active by playing ONLY games
• There are NO active discussions within the last 60 days.
• The Fan Club moderator reports the club to be inactive.
• The club and their officers have been warned about activity before.

Should you have any questions at all about the status of your fan club, feel free to ask the fan club moderator.

Fan Club Moderators

A fan club moderator is a current site moderator that supervises one or more fan clubs. Their job is to be the go-to person for all inquiries, suggestions, and anything else that is related to the fan club they are looking after. Fan club moderators approve fan club join requests, select new officers with the president, and moderate the fan club forum or thread. In addition, fan club moderators can warn or infract members who are breaking the rules. Overall, it is their responsibility to make sure everything within their fan club is running smoothly so that your experience there is the best it can be.

In addition to the fan club moderators, there are also two global fan club moderators (DanialRadFAN01 and PhoenixRising). These moderators have the same role as the fan club moderators, but they will also be picking up on some extra behind-the-scenes responsibilities. They will be responsible for the general maintenance of the Florean Fortescue’s forums, which means they will assign a moderator to each fan club and make final decisions on any big changes that may happen within Florean Fortescue’s Ice Cream Parlour. In addition, they can approve brand new fan clubs and remove ones that go inactive.

Fan Club Officers

Anyone can become a fan club officer if there are open officer positions. Every fan club asks that all officers are active in their respective fan club and have the time to fulfill the responsibilities that come with being an officer. Fan club officers have the very important job of helping maintain the fan club and making it what it is today. You can find out how to apply for a position in the fan club’s announcement thread when new officers are wanted.

There are four positions in every fan club: president, activities, graphics, and secretary. Please make sure you have read and understand each of the officer responsibilities for the officer position you are interested in for before applying. If you have any questions related to officer positions, please ask the moderator of the fan club.

President (1-2 per club)

The president is responsible for overseeing the fan club as a whole and making sure every member, old and new, feels welcome. They will assist the fan club moderator in modding the forum/thread, selecting officers, accepting fan club join requests, and updating the fan club’s member list. Additionally, the president will assist the fan club officers whenever necessary, regularly contact them, and keep them up-to-date with any fan club changes. Presidents are chosen by the fan club moderator based on their activity, general willingness, and maturity in the fan club.

Activities (1-2 per club)

The activities officer will be responsible for looking after all of the games in the fan club. They are expected to make sure the games being played are running correctly and no one is breaking the rules. Also, the activities officer will be in charge of coordinating special activities (caption contests, club-related quizzes, etc.) and events to entertain the fan club’s members. Activities can be done any time in the fan club. Events planned with other fan clubs, however, have to meet a certain criterion that is currently in place.

Promotions (1-2 per club)

The Promotions officer will be responsible for Promoting the Fan Club, which may or may not be limited to graphics or whatever means the officer is able to promote the respective character or actor, which may include creative writings and advertising in VMs and UNs. The Promotions Officer is to aid the other officers in ensuring that the Fan Club's threads are kept active, which includes being initiative in creating new games and discussions, as needed. And also in helping to bring in new (and veteran) members into the club's thread or forum.

Secretary (1 per club)

The secretary officer will be responsible for the “smaller” tasks of the fan club. They will be in charge of managing the fan club’s birthday thread and will give the members a special birthday message on his or her birthday. In addition, the secretary will be responsible for tending the fan club’s discussions. The secretary will make sure that all discussions are active and running efficiently. Other tasks can be assigned to the secretary from the fan club moderator and president should they need some extra assistance.

You are welcome to have up to a total of ten (10) fan club officer positions; with a max of four of each type of position. How many officer positions you think you can handle at one time is up to you. Just remember that you need to be active in all of your fan clubs. Should you feel that the commitment is too much, please talk to your fan club moderator. They won’t be offended if you need to give up your position.

If, for whatever reason, you cannot be active for any length of time, please let your fan club moderator know right away. Let them know how long you will be absent so proper arrangements can be made. If you fail to do this and go inactive for a long period of time, the fan club moderator has the right to remove you from the position and look for someone else to replace you. Should you be absent for an entire month, the fan club moderator will send you a PM letting you know that you will lose any positions you have if you do not reply within another month’s time.

Discussion System

What is the purpose of having fan clubs? To discuss the character or actor that is dedicated to them, of course! Even though chatting and playing games all day can be a lot of fun, the reason why we have fan clubs is to discuss various topics about our favourite characters and actors. This will give every member of the club the opportunity to talk with other fans about anything related to the fan club’s character or actor. When posting in discussion threads, please remember the following:

• Stay on topic. If you wish to talk about something else related to the character or actor, then post in the appropriate discussion thread or make a suggestion if there is no thread for the topic you want to talk about. Any off-topic posts will be deleted. You can talk about random things in the fan club’s chat thread.
• Everyone is entitled to their own opinion. You can disagree with something a member says, but do not make a big deal about it and put members down. Respect your fellow fan club members and you will receive respect in return. Punishments will be given if heated discussions, cursing, or attacks on other members occur.
• If you come across an inappropriate post, do NOT take matters into your own hands. That is the last thing you should do if you see anyone breaking the rules. Instead use the handy-dandy report button, which can be found next to a members online/offline button, or alert the fan club moderator or president.
• Discussion threads will not be closed as long as they are active. This is to give every fan club member the chance to post their opinions about the topic. If a discussion goes inactive for one month, the fan club moderator will bump the thread. Should the thread not be posted in for another month, it will be moved to the Back Room.

Every fan club will have a thread for members to post suggestions on discussions that could be made. If you have a discussion suggestion, simply post what your discussion is about (a decent-sized paragraph or two will suffice). Make sure that a thread hasn’t already been made for the discussion topic you are about to suggest. A new discussion thread will not be made if there is already an active thread of the same topic in place.

The fan club moderator, president, or secretary will contact you by PM if they think your discussion suggestion would be great for the fan club members to talk about. When this happens, you will be allowed to post a new thread in the fan club. When creating your discussion thread, make sure your title states what the topic is and use proper spelling and grammar so everyone can understand you. Submit your thread whenever you are done. A fan club moderator will approve your thread as it will go in the moderator queue. Once your thread is approved, you may start discussing!

Chat and Games

Chat and game threads are allowed in the fan clubs, even in fan clubs that are just threads. We have found that it is easier for members to get to know each other better through chatting. It has also been noted that playing games in the fan clubs is a great way to pass the time. Depending on whether the fan club is a thread or has a forum, there are a few differences in how the chat and games work.

In fan club threads, random chatting should not make up your entire post and only one game can be played at a time. Make sure you are participating in the current discussion and any activities that may be available. Forums in the fan clubs are set up differently when it comes to chat and game threads. There is only one thread for all your chatting needs, and while there is NOW no limit on the amount of game threads, game threads should be kept active, original, and related to the character or actor in question. Any game thread that has not been posted in for a month or longer WILL be deleted. Make sure you have read and understand the description in the first post of the thread before posting.

It can be a lot of fun chatting and playing games in the fan clubs. Nevertheless, they are a privilege, not a right. Fan club moderators have the authority to stop all chatting and games if that is all the fan club is doing. To keep this from happening, make sure that the discussions in the fan club are active and are being used appropriately. The fan clubs were not set up to be a chat and game haven. Activities and Events

From time to time the fan club activities officers, as well as other fan club officers if needed, put on their thinking caps and come up with fun activities and events for members to enjoy. These activities and events usually come up when there is something related to the character or actor worth celebrating, such as their birthday, a holiday that can be connected to them, a new movie release, etc. Activities and events can pop up at any time, and every member is welcome to participate and have fun!

Activities can take place in the character or actor’s fan club forum or thread, which means that you have to be a member of the fan club to participate. These are usually hosted by the fan club activities officer, depending on how large the activity is. Sometimes the activities are competitions, such as caption, graphic, and fan fiction contests. But they can also be something as simple as writing a love letter to the fan club’s character or actor for Valentine’s Day, a quiz that is related to the fan club in some way, or a scavenger hunt. The possibilities are endless!

There are also Special Events that can be hosted by the officers of one or more Fan Clubs, which are a larger scale than just a single contest thread and are hosted in Florean's very own Celebration Room made for every site member to come and enjoy. Whether you are a member of the fan club(s) that are hosting the event or not, you are more than welcome to participate. However, it is highly encouraged that you join them as some events might redirect you to the fan club forum or thread. We try to have a couple fan clubs host an event every few months. Do not worry about missing them, because each of these special events will last for about a month.

Miscellaneous

Now that you know all there is to know about the fan clubs, there are just a few more things that need to be pointed out to you. The following will help your stay up-to-date on the many happenings going on and will better your experience here in the fan clubs.

Announcements

Each fan club with a forum will be equipped with an announcement thread. The fan clubs that are single threads will have their announcements updated in the first post. You are more than encouraged to subscribe to your respective fan clubs’ announcement thread, updated by the fan club moderator and officers, and our thread for general Announcements regarding Florean Fortescue’s, which is updated by the global fan club moderators. These threads will be where you can find out the latest fan club news first.

Officer Listing

While fan clubs have a list of current officers somewhere in their thread or forum, the fan club moderators have compiled an Officer Listing where everyone can see a master list of all the fan club officers in one place. If there are any open officer positions, they will be indicated there as well as the announcement thread in the fan club that is looking for new officers. Keep an eye on this thread as it will be edited by the fan club moderators any time there is a change in the staff of the fan clubs they look after.
